This Privacy Policy explains how we collect, use, share, and protect information when you visit waalrescue.org, fill out one of our forms or applications, donate, volunteer, foster, adopt, use our Spay It Forward program, call or email us, or communicate with us by text message (collectively, the “Site” and our “programs”). It also includes our Cookie Policy and describes our text messaging practices.

This Privacy Policy is part of, and should be read together with, our Terms and Conditions. By using the Site, you acknowledge the practices described in this Privacy Policy. If you do not agree with it, please do not use the Site.

INFORMATION WE COLLECT

Information You Provide to Us

When you fill out a form or application, contact us, donate, register for an event, or text us, we collect the information you choose to provide. Depending on the program, this may include:

  • Your name, email address, telephone number (including mobile number), and mailing address.
  • Information about your pets and household, such as species, breed, age, sex, medical and vaccination history, your veterinarian, and your living situation (for example, whether you rent and your landlord’s pet rules).
  • Information we need to decide eligibility for assistance programs such as Spay It Forward, veterinary care assistance, training assistance, and pet supplies, such as your county of residence, household size, household income, and whether you receive public benefits.
  • Signatures and agreements, such as liability waivers, adoption and foster agreements, and assistance contracts.
  • Information you give us when you volunteer, foster, or apply for a job with us, such as availability, experience, and references.
  • Payment and donation details. Payments and donations are processed by our payment providers; we do not store full card numbers on the Site.
  • The contents of your emails, calls, form submissions, and text messages.

Information Collected Automatically

When you visit the Site, we and our service providers automatically collect certain information about your device and your use of the Site, such as your IP address, browser type, operating system, referring website, pages viewed, time spent on pages, and the date and time of your visit. Our forms also record the date, time, page, and IP address of each submission. We collect this information through cookies and similar technologies, as described in the Cookie Policy section below.

Information From Other Sources

We may receive information about you from other sources, such as veterinary clinics and partner organizations that provide services through our programs, adoption and event platforms we use, people who refer you to us, and public sources.

HOW WE USE YOUR INFORMATION

We use the information we collect to:

  • Review and respond to your applications, requests, and questions.
  • Decide eligibility for, schedule, and provide our programs and services, including adoptions, fostering, rehoming, spay/neuter surgeries, veterinary care assistance, training assistance, and pet supplies.
  • Communicate with you by email and telephone, and, if you opt in on the Spay It Forward application, by text message about your Spay It Forward application and appointment.
  • Process payments and donations and send receipts and acknowledgments.
  • Send you newsletters and news about our animals, events, and programs, where permitted by law. You can opt out at any time.
  • Keep the records our programs, our veterinary partners, grant funders, and the law require, such as rabies certificates and signed waivers.
  • Operate, maintain, secure, and improve the Site, and understand how visitors use it.
  • Detect and prevent spam, fraud, and abuse of our forms and systems.
  • Comply with legal obligations and enforce our Terms and Conditions and other agreements.

TEXT MESSAGING (SMS)

We send text messages only for our Spay It Forward low-cost spay/neuter program. If you provide your mobile phone number on the Spay It Forward application and check the box to receive text messages, we will use your number to send the messages described in the SMS/Text Messaging Terms section of our Terms and Conditions: Spay It Forward application updates, scheduling, payment, and waiver reminders, appointment reminders and confirmations, and replies to your messages. We do not text you about our other programs, forms, or inquiries. We also keep a record of your opt-in (the date, time, and page where you opted in), the texts we send you, and your replies (such as YES, STOP, or HELP). Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to receive text messages is not a condition of applying for, receiving, or paying for Spay It Forward or any of our other programs or services.

Mobile opt-in, SMS consent, and phone numbers will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers that help us deliver our text messages (such as our text messaging provider and mobile carriers), and only as needed for that purpose. All of the other categories of sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent.

If you opt out, we keep your number on a do-not-text list so we do not text you again by mistake. Opting out of texts does not affect your application or appointment; we will still reach you by email or phone.

HOW WE SHARE YOUR INFORMATION

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes. We share information only as follows:

  • Service providers. With vendors that perform services for us, such as website hosting, security, form processing, email and text message delivery, payment and donation processing, adoption and animal management software, event and auction platforms, newsletters, and analytics. These providers may use your information only to perform services for us.
  • Veterinary and program partners. With veterinary clinics, spay/neuter providers, and partner organizations that provide services through our programs, only as needed to provide the service you requested (for example, sharing your name, contact details, and pet’s information with the clinic performing your pet’s surgery).
  • Adopters, fosters, and rehoming. If you rehome or surrender a pet through us, we may share your pet’s history and medical records (but not your contact details, unless you agree) with the pet’s new family or foster.
  • Grant funders and reporting. With organizations that fund our programs, generally in aggregate or de-identified form, and in identifiable form only where a grant requires it to verify services.
  • Legal requirements and protection. When we believe disclosure is required by law, subpoena, or other legal process, or is necessary to protect the rights, property, or safety of WAAL, the animals in our care, our clients, or others, including reporting suspected animal cruelty or neglect to the proper authorities.
  • Organizational changes. In connection with a merger, consolidation, or transfer of our programs to another nonprofit organization, subject to this Privacy Policy.
  • With your consent. For any other purpose you approve.

What Cookies Are

Cookies are small text files placed on your device when you visit a website. Similar technologies include pixels, local storage, and scripts. They allow a website to work properly, remember your preferences, and understand how visitors use it. • Functionality and embedded content cookies. Set by third-party services whose content appears on the Site, such as embedded videos, adoptable-animal listings, donation forms, and event pages, when you load or interact with that content.

How to Manage Cookies

Most web browsers accept cookies by default. You can set your browser to block or delete cookies, or to notify you when a cookie is set, through your browser’s settings. If you block strictly necessary cookies, parts of the Site, including our forms and payment pages, may not work properly. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Opt-out choices are generally stored in cookies, so if you delete cookies or change browsers or devices, you may need to set them again.

We keep personal information for as long as needed to run our programs, provide the services you asked for, keep the animal, medical, and financial records we are required to keep, and meet legal, accounting, grant, and tax obligations. We keep text message consent and opt-out records for up to four (4) years after your last participation in a program, so we can show that you agreed to texts or asked us to stop. When information is no longer needed, we delete it or de-identify it.

We use reasonable administrative, technical, and physical safeguards to protect your information, including limiting access to staff and volunteers who need it. No website, internet transmission, or storage system is completely secure, so we cannot guarantee absolute security. Please do not send Social Security numbers, bank or card numbers, or other sensitive information through the Site’s forms or by text or email.

  • Access, correction, and deletion. You may ask us to access, correct, or delete personal information we hold about you by contacting us as shown below. We will respond as required by applicable law and may need to verify your identity before acting on your request. We may keep records we are legally required to keep, such as rabies vaccination and surgery records.
  • State privacy rights. Depending on where you live, you may have additional rights under state privacy laws. We will not discriminate against you for exercising any rights you have. To make a request, contact us using the information below.

Our forms, applications, and programs are meant for adults 18 and older. The Site is not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

THIRD-PARTY WEBSITES

The Site may link to websites and services operated by third parties, including partner organizations, adoption and donation platforms, and social media. We are not responsible for their content or privacy practices, and this Privacy Policy does not apply to them. Please review the privacy policies of any third-party sites you visit.
